To get to the phone main page click on "phone" located under the "email, text & phone" main menu. When you are on the main phone page you can setup your HOA Phone number that will be associated with your HOA software. This phone number must be setup to access the features of text messaging through software as well as receiving phone calls and voicmails. If you have not set up your HOA phone number yet, when you open up the phone page you will see a button out to the right called "setup HOA's phone number". Click on this button to get started on setting up the HOA phone number to be used and connected to the software. When you click on the setup hoas phone number button you will be taken to the phone number setup page. At the top of this phone number setup page there is a title called "config new phone number" this is where you would search for an area code of a new phone number that you want to use. Once you type in the area code you want to use and click on search you will see a dropdown called "available numbers" these would be the available phone numbers you can use with the area code you selected. Choose one of the numbers. Below this you will see a "Forward number" field. This forward number field is where you would enter the phone number that you want this newly created HOA number to forward to. Owners will not ever see this forward number on a caller id. Owners will only see this new HOA number that you have selected. The next step would be to click on the "validate numbers" button which validates they are real numbers and then click on "Confirm number" button. Once you click this confirm number button the new HOA phone number will be setup and ready to use. If your HOA has already setup your HOA phone number then when you click on the phone page you will not see a "setup HOA phone number" button you will see a phone settings and make a call buttons. If your HOA phone number has been setup in the EasyHOA software when you first come to this phone page you will see at the top left of the page an "instructions" button. This button will open up the following instructions: When using this calling platform you can call owner from different phones however it will always show the HOA caller ID. Click on the owner you would like to call, you will then confirm your phone number that you want to use for the phone call as well as confirm the phone number your are calling. Then we will call you and then call "the customer" from the HOA phone number. If your association does not have a phone number, click on "Config Phone Number" to start." Right below this "instructions" button you will see the phone number that has been setup previously and is the phone number that calls and texts can be sent to moving forward for your HOA. To the right of this section on the phone page where it shows your HOA phone number you will see a button called "phone settings" When you click on this phone settings button a box pops up where you can edit the forward number, how many seconds before it prompts to voicmail, what do want your voicemail to say, and then a setting call skip dial/ go straight to voicmail that can be toggled on or off. Once you have edited your phone settings click on the "update" button at the bottom of this box. Right below this "phone settings" button on the phone page is a button called "make a call" when you click on the make a call button a box pops up where you can make a call to an owner by selecting an owner from the dropdown or typing in a custom phone number on the fly. Once you select the owner or number you want to call then click on the "call" button. This will start a call with the recipient and the forward number device you have entered in the phone settings. Under this "make a call" button and to left of the page there is a "voicemails" button. When you click on the voicemails button you will see a list of all voicemails that have been sent to the HOA with the new HOA number that was setup. It shows the number it was sent from, to who it was sent, the date, inbound or outbound, the recording of the voicemail, a call back button and an archive garbage icon. To listen to the voicemail click on the voicemail play button out to the right of the voicemail. To call the person back that left you the voicemail, click on the button called "call back". To archive the voicemail click on the garbage can icon out to the right of the voicemail under the archive column. To the right of the "voicemails" button is a "all calls & recordings" button. If you click on this all calls & recordings button you will see a list of outbound calls that have taken place with a recording of that call. This page works similar to the "voicemails" page where you can listen to the call by clicking the play button or archive the call by clicking on the garbage can icon. To the right of the "all calls & recordings" button there is an "archived" button. If you click on this archived button it takes you to the archived page for voicemails and phone calls. Any voicemails or phone calls that have been archived will show up on this page. Once they are on the archived page you can delete that call and recording for good by clicking on the garbage can icon under the Delete column.
