Templates page of the EasyHOA Software

The templates page is located under the main menu of the EasyHOA software. The templates page is used for a couple of different things. One, it is where automatic templates are listed that the software can use to be sent out automatically, these automatic templates can be edited and turned on our off from this page. Two there is a section called custom templates where you can create custom templates to be used, and then lastly there is a violation templates section where you can create templates just to be used for violations. Here is detailed information about the templates page: When you click on the templates page of the EasyHOA software it will take you to the templates page. At the top of the templates page is a titled section called "Automatic Templates". Under this automatic templates you will see the following templates that can be edited or turned on and off: Payment receipt, Failed recurring payment, Dues invoice reminder(automatic), New recurring payment info has save to account, and survey verbiage. Under this templates section you will see the following column titles: Name, email, text, and delivery. The name column shows the name of the template, the email column shows whether that template is turned on or off to be sent as an email, there will be a green check mark if the template is on and an orange x if the template is turned off. The text column shows whether that template is on or off to be sent as a text, and the delivery column shows when and what that template is used for. The "payment receipt template" is used by the software to Automatically send to association user(s) immediately following a successful payment. The next template is the "failed recurring payment template", this template Automatically sends to association user(s) after a failed recurring payment. This template can be edited but will always be turned on. The next automatic template is called "Dues invoice reminder (automatic)", this template Automatically send to association user(s) to explain upcoming dues. This is sent the same day the invoice is generated on the account, which is referred to as the "billing period" located under "Tools > Settings > Billing Period. (This also applies to "ALL" recurring setup for a unit). The next automatic template is called "new recurring payment info has saved to account", this template Automatically Notifies associations user when a new recurring billing payment account has been saved to their account. The last automatic template in this list is called "survey verbiage", this template is the template used that notifies owners of a new survey when a campaign is published and when the survey was published you set it up to email or text the owners of the new survey. To edit an automatic template click on the name of the template where you will see two sections, one called Email options and one called text message options. Under the email options section you will see a checkbox called "automatic email enabled", this is where you turn on or off this automatic template and the below this checkbox you will see where you can edit or change the email template. The text message options section has a checkbox as well called "automatic text enabled" this is where you would turn on or off the automatic text to be sent as well as edit the text message content. Once you edit the template, turn it on or off you will click the "save" button at the bottom right of the page. On the templates page under the section titled "automatic templates" is a section called "Custom templates". The custom templates section lists any custom templates you have created that can be used when creating late/lien rules or can also be sent out manually. Under this custom templates section you will see a list of all of your custom templates with the following column titles: name, rule, days past due, email, text, and archive. The rules, days past due, email, and tex only show information if you have a rule set up the tools>late/lien rules page for that specific template. When you click on the name of the custom template it will open up the page where you can see the email content and text content of that template. On the templates page and then the custom templates section there are two buttons at the top right. The first button is called "edit late/lien rules", if you click on this button it will take you to the late/lien rules page, this late/lien rules page can also be accessed by going to the "tools" main menu, clicking on tools and then late/lien rules. On this edit late/lien rules page there are two buttons at the top right, one called "late/lien settings" which will take you to the late/lien settings page and one called "late/lien logs" which will take you to the late/lien logs page where you can see any changes that have been made to late/lien rules such as when an user deletes a rule/event, the user that performed the action and the time stamp of when the action was made. Below these buttons on the late/lien rules page is a table with three main sections with the following column titles: status, days past due, notifications, fees, and then the last column is not titled but has two icons one is and edit icon and one is a delete icon. These two icons are associated with each rule that has been set up so that you can edit or delete that current rule. Under the status column are three main status where you can add a rule, these three status are "Late", "Pre-Lien", and "Lien". Under each of these status you will see a link called "add rule". For example if you want to create a rule under the "Late" status you would click on the add rule link located under the status of Late which will take you to the "new late rule" page. Under this new late rule page you will first see a field called "days past due" where you enter how many days past the due date that you want this rule to start. For example you could set this to 10 which would mean that if the owner was invoiced on the first of the month and had not paid the invoice 10 days past the due date then this late rule would be triggered. The next section below this is the "send a notification when this even is triggered" section. This is where you choose what notification template from the custom templates section you would like to use with this rule or you will see a create new link if you want to create a new template to use as part of selecting the template you want to use you will see two checkboxes you can check labeled, send owner an email, and send owner a text message this will tell the rule whether you want to send that template as an email, text, or both. Below this send a notification when this even is triggered section is a section titled "invoice fee" with a button at the top right called "add fee". If you click on this add fee button a box will pop up where you can enter the fee name, fee type (fixed or percentage), and amount. Once you have added the fee you should have entered all the information you need to create this rule which will be triggered so many days past the due date, send a notification, and add a fee. Adding a fee and or notification to the rule is not required. Click save at the bottom right to save this rule. Once you have saved the late rule the software will automatically initiate this rule based on the settings you chose when creating the rule. You will also be able to see this new rule on the late/lien rules page once it has been created. At the top right of this late/lien rules page there is another button called "late/lien settings". If you click on this late/lien rule settings you will be taken to billing period page of the software. On the templates page under the custom templates section there is a button called "new custom template" if you click on this it will take you to the new custom template page where you can add the title of a new custom template in the email content box and the text message content box and click save. Once you have saved this new template you can send it manually to an owner through the owner account>compose email or compose text or you can now attach this custom template to a late/lien rule setting for the software to use automatically. On the templates page under the custom templates section is a section titled "violation templates", this violation templates section will list any violation templates that have been created. You can create a new violation template by clicking on the "new violation template" button located in this section. When you create a violation template you will then be able to use these templates when you are creating a violation for a unit on the unit page under the requests/violations page for that unit. In the list of violation templates you will also see an archive column and garbage can icon out to the right of each template where you can archive the template.
