Reports page of the EasyHOA Software

The reports page is located in the main menu of the EasyHOA software. When you click on the main menu item reports you are taken to the reports page of the EasyHOA software. I am going to list all of the reports that can be accessed on the reports page and the main features of each report. The first report is called "bank account deposits", when you click on the name of this report it opens up the report. This report allows you to change the date at the top, and or export to a PDF or CSV file by clicking the export to csv or export to pdf buttons located at the top right. On this bank account deposits report page you will see a list of all the bank account deposits that have been processed. You will see the date of each bank account deposit, when you click on the date of the bank account deposit it will open up a breakdown of all the transaction details associated with that deposit and the processing fees associated with those transactions. Credit card payments typically take two business days to process; while ACH payments may take up to nine business days to process. Deposits are not processed on weekends and bank holidays. The next report on the reports page is called "check batches/deposit slip", This report will allow you to assign physical checks to specific check batches which will then in turn generate a deposit slip that you can use to take to your bank. When you click on the name of this report you will be taken to a page titled "open check batches" if you do not see any check batches click on the "create new check batch" button and create one. Typically you will only have one check batch open at a time. When you have a check batch open you will have the ability to assign a check payment to the batch when posting check payments in the software. The open check batches page shows the name of the batch, created date, no. of checks assigned to that batch, status of open or closed - if its open there will be link called "close" under this status column where you can close the batch, and then a total column that lists the total amount of checks assigned to the batch. When you click on the name of the check batch you will see a summary of the checks, check numbers, check amount, and cash amount. When you click on the name of the check batch you will also see at the top right a button called "print the deposit slip", when you click on print the deposit slip the software will create a pdf listing all the checks and total cash amount into a bank account deposit slip format that you can take to the bank. If the check batch is open you will also see a button called "close check batch / deposit slip" to the right of the "print teh deposit slip" button where you can close the batch and print the deposit slip if had not been closed yet. On the open check batches page to the right of the "create new check batch" button is a button called "closed check batches/ deposit slips", if you click on this button it will take you to a list of all the closed check batches where you can go back and print the deposit slip again if needed or check and confirm which checks or cash amount were assigned to those past check batches. The next report on the reports page is called "credits report". When you click on the credits report name you will be taken to the credits report. At the top left of this page you will see a button called "credits without payment". When you click on credits without payment you will be taken to a report that shows any credits added to any units through the "add credit" button. So these would be credits added without payment. This report can be filtered at the top by date as well exported to a csv or pdf. This report shows the date the credit was added, for what unit, the address of the unit, the lot number(if applicable) and the amount. To the right of this credits without payment button is a button called "current units with credit" button. When you click on this button you will be taken to a report that shows all units the software that currently have a credit balance. This report can be filtered by date as well as exported to a csv or pdf. Note this shows units with any credit which could have been a credit added through the add credit button without a payment or a credit that was added when the owner paid but nothing was due yet. The next report on the reports page is called "Export Data". This report allows you to export unit and owner information to a csv file. When you click on the export csv button the software will download a report with following unit information: unit name, subdivision, lot number, address 1, address 2, city, state, zip, balance, unit notes, First name, last name, address 1, address 2, city, state, zip, phone, email, user type, authorized voter, owner notes, and then any unit custom fields. The next report on the reports page is called "Invoice Report(Accrual). This report allows you to see all invoices that the EasyHOA software has generated within a specific date range. The default date range when the page loads is set to load the current month. You can export the data from this report into a csv or a pdf. The next report on the reports page is called "HOA active dues". When you open up this report you will see a list of all Owners that currently have an active due setup in the software with a total at the bottom. This report is useful to make sure that the billing amount and due date is correct for all the owners in the community and can give you a good idea of the total amount the HOA should be collecting each billing cycle. This report can be filtered at the top to show just units with active dues or it can be filtered to show units with no dues set up. This report has the following column titles: owner name, unit name, unit address, amount, next due date, due type, due title, repeat every, lot number, expires on. This report can be exported to a csv or pdf. The next report on the reports page is called "owners logins" When you open up the owners logins report you will see two options at the top where you can either show the "owner logins - per owner" or you can click on and show "owner logins - per unit". There is a search bar at the top of this report where you can search for a specific owner or unit as well as export to csv or pdf. This owners login report shows the following information as column titles: first name, last name, email, primary owner, last login date and time. This report is useful to check and see if an owner has been logging into their account and the last time they logged in. Since some owners don't "log out" and log back in, the EasyHOA software accounts for that on this report it shows the date and time the owner performed an action while being logged in The next report on the reports page is called "past due" when you open up this past due report you will see a list of all units that have an outstanding balance and how many days behind they are. You will also see a "make a payment" button to the right of each of these units where you can make a payment for that unit from this report. You can search the dues by using the search bar at the top as well as filter the report through the dropdown by category of the outstanding item. So for example you could filter the report to show just units that have outstanding violation fees. The report defaults to show all units that have an outstanding balance but you do have those options to filter this report if needed. You can export this report to a csv or pdf. This report has the following information as column titles: unit name, unit, owner, balance, contact, mailing address, and days behind. The next report on the reports page is called "rented units". This report shows all the units that are marked as rental units along with the following information as column titles: unit name, unit address, lot number, owners, renter name, renter phone, and renter email. You search this report as well as export to csv or pdf. The next report on the reports page is called "revenue". This report shows a date range at the top that defaults to the current month but can be changed as well if you want to expand the report to beyond the the current month. This report shows all the payments that have been processed or posted in the software for that given date range with a total at the bottom left of the page. This report can be exported to a pdf or csv. This report shows the following column titles: date, address unit, lot number, type, description, payment method, and amount. This report can be used to see a total amount of revenue that has come into the community for a specific date range. The next report on the reports page is called "unit detail balance". This report shows a list of all units with their current balance, last payment date, next due date, and days past due. You can export this report to a csv or pdf. The next report on the reports page is called "units custom fields". This report is used to show all the custom fields for each unit. So for example if you created a custom field to keep track of information that is unique to your HOA this report would show that custom field information for each unit in the community. This report has the following column titles: unit, primary owner, and then any custom fields that have been created. You can export this report to a csv or pdf. The next report on the reports page is called "violations report". This takes you to the same violations report page that is accessed through the main violations page of the easyhoa software. The next report on the reports page is called "revenue by fee type". This report shows all the categories like violation fee, hoa due, late fee, etc. with a total amount of revenue that came in from that fee type. It lists the categories with an amount and totals at the bottom left. You can change the date range at the top as well export to pdf or csv file. The next report on the reports page is called "primary/authorized owners". This report lists all the units with the owner and then whether that owner is a primary owner or authorized voter. If they are the primary owner you will see a blue icon labeled "primary contact" if they are not the primary owner there will be a button called "set as primary contact" if you click this button it will make that owner the primary owner of that unit. In the authorized voter column you will see a green icon labeled authorized voter if they are the authorized voter. If they are not set as the authorized voter there will be a button called "set as authorized voter". To the right of the authorized voter icon you will see a red x that you can click to mark them as not the authorized voter. The column titles of this report are: unit, address, subdivision, owner, primary owner, authorized voter. The next report on this reports page is called "Accounts receivable aging report". This report has a toggle button at the top right called "hide invoices" if you toggle this on then the report will hide the individual invoices and show just the unit with the amount the total amount that is past due, 0-30 days past due, over 30 days past due, over 60 days past due, and over 90 days past due. If you toggle that hide invoices to off then it will list each unit and their individual invoices with the past due data. You can search this report as well as export it to csv. The column titles of this report are: unit name, primary owner, total, 0-30 days, over 30 days, over 60 days, and over 90 days. At the bottom of these columns it totals the amount that falls into each column. The "date picker" for this report can be used to pull historical data depending on the date chosen.
