Overview
You may need to cancel a payment after it has been submitted. Whether this is possible depends on the payment status and timing.
In general, you can only void or stop a payment before it reaches the debit/processing stage. Once funds are in motion, cancellation becomes limited or may require a refund process.
When You Can Void a Payment
You can typically void a payment if it is:
- Still in Pending / Approved / early Processing
- Has not yet been debited
- Has not been sent to the vendor
Timing Guidance
Before 3:00 PM ET (1:00 PM MT) — Best window to void
- Payment is usually still in an early stage
- ✅ High success rate for voiding or stopping
When You May Not Be Able to Void
After the cutoff time or once processing advances, payments may move into:
- Debit Request
- Sent to Check Printer
- ACH Credit Issued
At this point:
- ⚠️ Voids may fail or require manual intervention
- ⚠️ Stop payment requests may involve a fee
- ⚠️ You may need to handle the situation as a refund instead
When You Cannot Void a Payment
You generally cannot cancel a payment if:
- Funds have already been debited
- ACH has been sent
- A check has been printed or mailed
At this stage:
- ❌ Payments cannot be truly voided
- Options may include:
- Submitting a stop payment request (check payments only, may include a fee)
- Waiting for the payment to complete and then issuing a refund
Stop Payment Requests
If a payment is already in progress:
- A stop payment request may be submitted
- This may involve a fee
- Success is not guaranteed and depends on timing
Best Practice
Always review payments carefully before approval.
Once submitted—especially after the daily cutoff—cancellation options become limited and less predictable.
