How to Set Up Two-Factor Authentication

Two-factor authentication (2FA) adds an extra layer of security to your EasyHOA Dashboard account. In addition to entering your email address and password, you will enter a temporary code generated by an authenticator app.

Two-factor authentication is available for Dashboard users only. It does not apply to homeowners using the Owner Portal.

Authenticator apps you can use

Before getting started, install an authenticator app on your phone or another trusted device. Compatible options include:

  • Google Authenticator
  • Microsoft Authenticator
  • Authy
  • 1Password
  • Other apps that support time-based one-time passwords (TOTP)

Require two-factor authentication for all Dashboard users

An HOA can require two-factor authentication for every Dashboard user who has access to its management tools.

To enable this requirement:

  1. Go to Team Members in the EasyHOA Dashboard.
  2. Select the appropriate HOA/Organization.
  3. Turn on Require two-factor authentication for this team.
  4. Click Save.

Once enabled, every Dashboard user associated with that HOA will be required to set up two-factor authentication the next time they log in.

Users who have not completed setup will see a Two-factor authentication required message and will be unable to access the Dashboard until setup is complete.

While the HOA-wide requirement is enabled, individual Dashboard users cannot turn off two-factor authentication for their accounts.

Set up two-factor authentication for your account

If your HOA requires two-factor authentication, EasyHOA will direct you to User Settings when you next log in.

If your HOA does not require it, you can still enable two-factor authentication voluntarily for your own Dashboard account.

To set it up:

  1. Log in to the EasyHOA Dashboard.
  2. Open User Settings from your account menu.
  3. Find the Two-Factor Authentication section.
  4. Click Turn on authenticator.
  5. Open your authenticator app and scan the QR code displayed in EasyHOA. If you cannot scan the code, enter the provided setup key manually.
  6. Enter the six-digit code generated by your authenticator app into the Authentication code field.
  7. Click Confirm.

Your authenticator app is now connected to your EasyHOA account. The next time you log in, EasyHOA will ask you for a temporary authentication code in addition to your normal login information.

For security, do not share your QR code, setup key, or authentication codes with anyone.

Confirmation email

After two-factor authentication is added, EasyHOA will send a confirmation email to the email address connected to your account.

If you receive this email but did not enable two-factor authentication, use the link in the email to remove it and contact EasyHOA Support for assistance.

Frequently asked questions

Does two-factor authentication apply to Owner Portal users?

No. This feature is only available for Dashboard users who access the HOA’s management tools. It does not apply to homeowners using the Owner Portal.

Can I enable two-factor authentication if my HOA does not require it?

Yes. Any Dashboard user can enable it individually by going to User Settings.

Can I turn it off after enabling it?

You can turn it off if your HOA does not require two-factor authentication. If the HOA-wide requirement is enabled, it cannot be turned off for an individual Dashboard user.

What happens if my HOA enables the requirement?

The next time you log in, you will be directed to User Settings and required to connect an authenticator app before you can continue using the Dashboard.
