Porting a Phone Number to EasyHOA

If your HOA already has a phone number, you can transfer—or “port”—that number into EasyHOA. This allows the association to keep its existing number while using EasyHOA’s phone features.

Important: Keep the phone number and its current service active until the port is fully completed. Canceling service too early may cause the port to fail or result in the loss of the number.

Before You Begin

Gather the following information from the HOA’s current phone provider:

  • Phone number you want to port
  • Account or business name
  • Carrier account number
  • Account telephone number
  • Authorized representative’s name and email address
  • Account PIN, if applicable
  • Billing address
  • Most recent phone bill, dated within the last 30 days

All information must match the current carrier’s records exactly. Incorrect or mismatched information may cause the request to be rejected.

Starting the Porting Request

  1. Log in to your EasyHOA Dashboard.
  2. Open Email, Text & Phone from the left-side menu.
  3. Select Phone.
  4. Click Setup HOA Phone Number.
  5. Select the Port phone number tab.
  6. Enter the number you want to transfer.
  7. Click Check if this number can be ported.

EasyHOA will check the number and show which porting process is available.

Automated Porting

Most eligible U.S. local and mobile numbers can use the automated porting process.

  1. Complete the form using information that matches the current carrier’s account.
  2. Enter a temporary number under Forward calls to, if desired. Leave this blank to use the number being ported.
  3. Upload the most recent phone bill from the current carrier.
  4. Submit the port request.
  5. Watch for an email from Twilio containing an electronic Letter of Authorization.
  6. The authorized representative must review and sign the authorization to continue the port.

Manual Porting

Toll-free numbers, international numbers, and numbers from some carriers may require a manual request.

If the number cannot use the automated process:

  1. Download and complete the Letter of Authorization provided on the page.
  2. Upload the completed Letter of Authorization.
  3. Upload a recent carrier bill.
  4. Upload the Customer Service Record, if requested. This record can be obtained from the current phone provider.
  5. Enter a temporary forwarding number if needed.
  6. Submit the information so the EasyHOA team can file the request manually.

What Happens Next?

You can monitor the request under Current Porting Requests, including:

  • Request status
  • Number status
  • Target port date
  • Last status update

Phone number transfers require coordination between EasyHOA’s upstream provider and the current provider. The process may take up to four weeks.

Continue paying for and maintaining the current phone service until the number has successfully transferred.

Avoiding Delays or Rejection

Before submitting, confirm that:

  • The number is still active with the current provider.
  • All account information matches the carrier’s records exactly.
  • The account PIN is correct, if applicable.
  • The uploaded bill is current and clearly shows the account information.
  • The authorized representative signs the emailed Letter of Authorization promptly.

The most common reason for rejection is that the name, address, PIN, or account number does not match the current provider’s records.
