Feature Updates of 2023

  • Accounting Module- includes syncing bank account feeds, approving transactions, chart of accounts, profit and loss report, budget report, general ledger report, balance sheet.

  • Custom Email Groups: > 'tools > settings > Email settings' Page and you'll see a new dropdown called 'create custom email groups' and you'll use this tool to enter all your email addresses. You can copy and paste the addresses in and if you're entering multiple emails, separate them with a comma. After you create your group, you'll be able to see that group as a recipient when you are composing a new email under the 'inbox > compose' email.
  • Added a button in billing history (payment details) that the HOA manager can click on to manually send a payment receipt to the email of the owner on file.
  • Added the ability to add a custom email preface for an association's email address.
  • Added the ability for an HOA to add a forwarding email address so any emails coming into the inbox can be automatically forwarded to that recipient.
  • Created the functionality to 'reply' or 'forward' any email threads within a group email.
  • Added the ability to search for email addresses within the To: CC: and BCC: fields
  • Refund button - Made it more user friendly > Now the reason note of the refund will show up in the billing history.
  • Added more detail to the 'Bank deposit report' so now for a deposit batch that was disbursed into your HOA bank account you can see in detail what made up that disbursement.. ie fees, payments, by who.. etc..
  • Added the ability to track any 'failed' ACH payments that happen days after the transaction is submitted.. When this happens we are notifying the HOA email address with the details of the owner & payment. We are also automatically marking the original payment Transaction as 'Failed' and making whatever line items it originally paid as outstanding again.
  • Added a place on the Owner Login page for owners to manage their 'notification preferences' according to the 'automatic notification templates' that can be enabled from the dashboard. *If the board turns off the notifications globally then the owner can't turn them on specifically for themselves.
  • Violation Features: We added a button to filter open and closed violations. We added the # of days old the violation is.
  • Violation rules - We added a simple rule button that allows the HOA manager to create an email that notifies a board member when a violation hits a number of days the violation has been open for. under violations then settings, then rules.
  • Created a 'delete' button for emails along with a 'Trash' folder that automatically deletes the trash after 30 days.
  • Added a 'new user setup' template to each HOA as a default template going forward
  • HOA Phone numbers - We added a way to download an audio file for any recorded calls that come into the HOA.
  • More Violation features - We created the ability to add more 'status' for violations. We also added a field for 'estimated completion date' the owner can enter this themselves on their owner login.
  • Added an Alert Banner for violations on the owner login, as well as a number in the owner menu next to 'Violations'
  • Inbox > Sent folder > we connected this to our Easy HOA sendgrid account to follow up with the email so that the HOA manager/Board member knows the status of the sent email such as if the email was “sent”, “received”, “opened”, “dropped”, etc..
  • We added a settings page for the website where you can turn off the tabs for the events/news tab. We also added the ability to remove the other tabs of the website if a manager/board member chooses to.
  • NEW REPORT: > Revenue by Category > This will show categories now when you create a 'one time fee' and it will keep track of the different categories on this report.
  • Added the ability to add/create new Revenue Categories (ie. late, lien, pre-lien, violation, special assessment, and due) as well as giving HOA managers/Board Members the ability to add a custom category type under 'Tools > settings > Billing'
  • Email Signature > We Created a way to add an Email Signature to the emails that the HOA sends out. Located under the Tools > Settings > Email settings
  • We added the ability to add an image within the body of an email. instead of just 'attaching' an image to the bottom of the email.
  • Accounting - Budget report separated per month with custom date ranges.
  • Accounting - Budget vs Actuals Report - This is an awesome report that gives you a snapshot of where you're at for the month & year vs what was projected.
  • New report named 'Unit Detail Balance'. This report will give some detail of the units current balance, last payment date, next due date and days past due.
  • ARC committee Permissions & process - This was a big one! We made a video on this new feature and posted it to its own page on our support site. https://support.easyhoa.com/tools/arc-committee-permissions-process
